How to Find the Right Paralegal in Toronto: What to Look For

A quick search for "paralegal Toronto" returns hundreds of results. Some are experienced, licensed professionals. Others are operating in grey areas or targeting people who don't know what to look for. Before you hand over a retainer or share sensitive details about your case, here's what you need to verify.
Step 1: Verify Their Licence with the LSO
Every licensed paralegal in Ontario must be in good standing with the Law Society of Ontario (LSO). You can verify anyone's licence for free at lso.ca — search by name or licence number. Look for "Licensed Paralegal – Good Standing." If a person's name doesn't appear or shows a suspension, do not hire them. Practising without a licence or while suspended is illegal, and you have no protection if something goes wrong.
Step 2: Match Their Practice Area to Your Problem
Not all paralegals handle all types of cases. Some focus exclusively on traffic tickets. Others specialize in landlord and tenant matters or WSIB. Ask specifically: "Do you regularly handle cases like mine?" A paralegal who mostly does traffic tickets may not be the right choice for a complex LTB eviction with a counter-application. Look for someone whose practice area matches your situation.
Step 3: Ask About Fees Upfront
A professional paralegal should be able to give you a clear fee structure before you retain them. Common models include flat fees (common for traffic tickets and straightforward LTB applications), hourly rates, or a combination. Ask what the retainer covers, what would trigger additional fees, and whether GST/HST is included. Be cautious of anyone who refuses to discuss fees until after you've signed a retainer agreement.
Step 4: Check for a Written Retainer Agreement
The Law Society requires licensed paralegals to provide clients with a written retainer agreement before starting work. This document outlines the scope of services, the fee arrangement, and your rights as a client. If a paralegal wants to start work without providing a written agreement, that's a serious red flag.
Step 5: Look for Clear Communication
Legal matters are stressful, and you deserve a paralegal who explains things in plain language. In your first conversation, pay attention to whether they listen carefully, answer your questions directly, and give you a realistic assessment of your situation. Be wary of anyone who guarantees a specific outcome — no ethical legal professional can do that.
